Financial Agreement - Example - Splitting Charges between Two Financial Families

This article covers a scenario where a student has two guardians each paying a portion of the tuition and fees

Admins can use customized Financial Agreements to allow Guardians from separate ClassReach Families to divide up tuition and fee payments for their children.

While the Admin does have the option to manually add charges to the two separate accounts, this article shows you how it can be accomplished with a Tuition Agreement used specifically for the two family scenario.

In a typical Tuition Agreement, the family is charged tuition and fees for each enrolled student via Per User Fees.  If the family has one enrolled student they are charged tuition once, if they have two enrolled students they are charged tuition twice, etc.  As you probably know, this will not work for students with two guardians in separate families.

Guardians in the same ClassReach family all have access to the Financials.  This means they can use the Payment Methods to make payments and see all the financial transactions.  In some family situations, this may not be desirable.  We recommend, in this situation, that they are in separate ClassReach families, which would then be separate financial families.

ClassReach Financials require that students and guardians belong to only one financial family (Financial Customer).  

 

To make the two family scenario work requires a uniquely set up Financial Agreement and a couple of fields in the Family Info form as described below.

Example Family Scenario

The Addison Family - David Addison (Dad)

The Hayes Family - Maddie Hayes (Mom), Agnes Addison (Daughter), Bruno Addison (Son)

The families are separate in ClassReach by their request as they don't have access to each others finances.  The children reside with Mom and she is the primary parent for the school to contact so the children are in Mom's ClassReach family and her financial family.  Dad has the children as part of his ClassReach family also and he receives all Guardian communications and academic information (grades, assignments, etc) for them, but he is the only member of the Addison financial family.

Below you'll see that the Hayes Family includes the two children, but the Addison Family just includes the Dad.

 

 

Adding two fields to the Family Info Form

The logic used in Financial Agreements is based on comparisons made to either a User or Family Info form.  In this case, we are basing the logic on two fields we put on the Family Info Form, Enrollment page (this is a custom page that we use for several example Financial Agreement and form logic statements that you can see below.  For example, offering a staff discount or returning family discount, you need a field to identify families).

The Two Family Scenario field is not necessary for this agreement, but could be used to pull a report of your school's families and determine which families will need to use the Two Family Agreement.  

The Number of Enrolled Students field is used to determine how many students to charge tuition.  It is a Radio Button type field.

The Two Family Tuition Agreement

This agreement is set up similar to any other Financial Agreement, but it only uses Per Agreements Fees and Per Family Discounts.  This allows the same charges to be applied to both families and divided equally.

Set up a fee option for each number of students possible.   In this example, there is a tuition charge for 1, 2, or 3 students.  The logic to determine which charge to use is described below. There is also a Split Family Reduction discount that applies a 50% discount to each family's Tuition Agreement.  This effectively splits the charges between both families.

 

 

The Tuition for 2 Students charge option

The Tuition for 2 Students charge is selected because the families in our example have two children.  The Family Filter is used to create a rule with the Number of Enrolled Students equal to two.  The students are charged $12,000, which is $6000 for each student.

The Split Family Reduction Discount

The key to splitting the charges between the two families is the Split Family Reduction discount which applies a 50% discount to both families for every charge. The discount should be applied to every Account Category used on the agreement.  Each family pays half.

When applied to each family, this is their Tuition Agreement - $6000 for each family.
