FAQ - Should I use a Guest Form?

A Guest Form is a special form used for people that aren't active users with a role in ClassReach.

A Guest is a special kind of User in ClassReach that doesn't have a ROLE or stored data other than name and email.  Users with roles (Admin, Teacher, Guardian, Student) have one of three statuses.  They are either Active, Archived or, in the case of Guardians or Students only, Applicants.

APPLICANTS ARE NOT GUESTS.  Someone typically becomes a Guest when they fill out a guest form.  Once a user starts an application they become a User with a Role, but they won't show up as an Active User (Guardian or Student) on the People page until the Application is approved.

On the People page, you can convert a guest to a User with a role (Student, Guardian, Teacher) or send guests an application link.

 

If you are creating a form, the second page asks you to describe the purpose of the form by picking between a User, Student/Classes, Family and Guest form.

A few examples of when we would use a Guest Form:

Prospective Families, Students, Teachers

  • School Interest Form

  • School Inquiry Form

  • Teacher Application Form

Non-School Families or Individuals from the community-at-large

  • School Swag Purchase Form 
  • School Donations Form 
  • Sports or Arts Ticket Purchase Form 

A few examples of when we would NOT use a Guest Form:

  • Application Fees
  • Enrollment Forms
  • Re-enrollment Forms
  • Donations from Guardians

Technically, when you create a guest form (eg, a school Inquiry Form) it will let you link to User Info Form fields, but those fields will NOT show on the Guest Form for the Guest.
