Module 7 - Customer Accounts

Financial Customer Accounts - an overview for new admins

 

Video Summary 

  • Customer accounts are accessed from Financials → Summary → Customers.

  • Each customer account includes tabs for:

    • Customer info

    • Transactions

    • Invoices

    • Financial agreements

    • Payment methods

    • Correspondence

  • Customer tab shows:

    • Family members

    • Balances

    • Recent transactions

    • Open invoices

    • Quick actions for charges, payments, and payment plans

  • Verify students are assigned to the correct financial family, especially in split-family situations.

  • Transactions tab displays all financial activity for the selected school year.

  • Invoices:

    • Organized by account

    • Separate paid and unpaid invoices

    • Can be viewed, printed, edited, or paid

    • Zero-dollar invoices can be deleted

  • Financial agreements can group multiple charges and create invoices by account.

  • Payment methods tab shows saved payment options.

  • Correspondence tab logs automatic payment reminder emails.

  • Automatic reminders are sent:

    • 20 days before due date

    • 7 days before

    • 1 day late

    • Every 7 days until paid

  • Tuition invoices are only created after enrolling the family in a payment plan.

  • Payment plan options may include:

    • Pay in full

    • Monthly installments

  • Monthly plans automatically split tuition into scheduled invoices.

  • Unenrolling from a payment plan removes invoices but keeps charges intact.

  • Re-enrolling in a different payment plan regenerates invoices automatically.
